Role purpose

Reporting into the PA to Director of Yachts & Aviation (YAAV), you will manage our studio spaces, ensuring a smooth running of the studio and a happy team whilst in addition providing PA support to the senior YAAV team. You will be the go to person for our studio, and will be a vital link to all other WD departments. You will be able to demonstrate outstanding organisation and communication skills and will embrace all challenges which come your way. You will be working with a highly motivated group of professionals in a fun environment to deliver a linchpin role within the studio.

Key responsibilities

PA – TO FRONTLINE TEAM

  • Provide administrative and diary support for the YAAV Frontline Team – consisting of Senior Partners and Associates; including organising new business, suppliers, project meetings.
  • Regular touch-in meetings with PA to Director, YAAV to review ongoing operations.
  • Arrange and minute weekly YAAV team meetings & other internal meetings
  • Project secretary to projects, assisting with project requirements, correspondence and workload ( including presentation production, action lists, meeting minutes, contractual obligations & time allowances)
  • Prepare pitch presentations for any new business support
  • Update and maintain CRM with team contacts.
  • Ensure the team complete weekly timesheets & submit monthly expenses.
  • Attend PA/admin meetings and cover other PA’s holidays
  • Update team calendar for both Frontline and team use.
  • Liaise with the Marketing team on PR and Marketing related activities as required
  • Co-ordinate internal and external conference video/calls

STUDIO MANAGEMENT

  • Liaise with the Travel Co-ordinator to arrange overseas & UK travel, transport and accommodation for the team.
  • Ensure team passports & relevant visas are up to date, the info is logged and scanned copies are filed. 
  • Monitor team holidays to ensure no overlap.
  • Event management for team - including social events, away days and off-site events e.g. MYS, EBACE, NBAA, FLIBS.
  • Support the team with the preparation of presentations – both current projects and pitch/new business.
  • Monitor and record team holidays, and absenteeism.
  • Issue teams whereabouts to reception – and update the team calendar i.e. travel/meetings/holidays/sickness
  • Liaise with IT for any technical support for team
  • Co-ordinate with the PA to Director  the induction arrangements of all new joiners.
  • Collaborate with HR on processes/protocols/ team welfare/internal comms.
  •  Log any team training requirements with HR
  • Stock take & order studio supplies via reception and maintain a well orderly run studio
  • Liaise with office manager reference studio maintenance
  • Ensure studios are tidy and correctly set up for internal or external meetings, providing refreshments & equipment as necessary.
  • Facilitate the standardisation of working practices for the team throughout the YAAV studios.

Experience, skills and personality traits

  • At least 5 years’ experience in a similar role is essential
  • Proficient with MS Office suite
  • Adobe Photoshop/InDesign experience is desirable
  •  Experience of organising events is desirable
  • Responsive, professional and personable
  • Ability to build strong working relationships at all levels and collaborate effectively with a range of internal and external contacts
  • Client focused with the ability to go the extra mile
  • Excellent organisational skills
  • Positive, committed and enthusiastic approach with drive and passion for the job at hand
  • Adaptable, flexible and resilient

Remuneration and benefits

  • Competitive salary available depending on level of experience
  • Hours 9:30am – 5:30pm – Monday to Friday
  • 24 days annual leave per annum
