Role purpose

The Procurement Finance team sits between Procurement, Design and Finance, and supports all 3 departments with the invoices and funds relating to all goods being purchased for our Clients projects.  These goods are commonly known as FF&E, or Owner’s supply.  The Procurement Finance team monitor and report on how our Client’s money is being utilised against an agreed budget and ensure that all goods invoices received from our suppliers are accurate and paid on time.  The Procurement Finance team have high numeracy levels, follow a very systematic approach, have prior experience in invoice processing but are not generally financially trained.  Their inherent interest in design and their ability to communication with ease, whether verbally or written, with Winch Design team members, suppliers and key Client reps, are the keys skills which allow our Procurement Finance team to excel in their unique roles.   The processor role exists to support the more senior members of the team, and will focus heavily on the processing tasks, whilst supporting on the communication tasks.

Key responsibilities

Owner’s Supply Procurement and Processing

  • Process all purchase invoices on SUN Systems and Filemaker accurately so that they reconcile to each other.  
  • Ensure all invoices and proformas are coded up with the correct Element and account numbers.
  • Process bank payments on a daily basis from the correct Project bank account.
  • Bank Reconciliation of all Owner’s Supply Client Bank Accounts
  • Reconcile Trial Balance and Aged Creditors for Owners Supply Interiors Suppliers.
  • Manage Supplier and Creditor accounts – checking Supplier Statements and chasing copies of unpaid invoices.
  • Maintain accurate filing

Commercial administration and monthly reports

  • Opportunity to support in the following areas once the processing tasks are fully understood:
    • Collate reports re: project expenditure.
    • Balance Sheet reconciliations
    • Project completion summaries
    • Client rep communication and project updates
    • Supplier communication

Qualifications and work experience

  • Previous experience in a similar role is essential
  • Exposure to, and knowledge of, double entry accounts processing is desirable
  • Knowledge of SUN accounts is desirable
  • Advanced knowledge of MS Word and Excel is essential
  • Luxury goods market experience is desirable

Interview process

There will be a two stage interview process.  First interviews will be with HR and Finance Procurement Manager, and second interviews with Head of Finance.  Interviews to commence w/c 4th November.  Selected candidate to be in role in January 2020.
